Privacy Notice

Effective date: 15 October 2026

Butlers in the Buff Australia (“we”, “us”, “our”) runs the website at https://butlersinthebuff.com.au (the “Site”). This notice explains what personal information we collect when you use the Site or book with us, what we do with it, and the choices you have. By using the Site you accept the practices described here. Words defined in our Terms & Conditions mean the same thing in this notice.

Who we are

This Site is operated by Butlers with Bums Limited, a company registered in England and Wales under number 7699821, with its registered office at 11a North St, Portslade, Brighton BN41 1DH, United Kingdom. Butlers with Bums Limited is the entity responsible for your personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

You can reach us about anything in this notice at info@butlersinthebuff.com.au.

Some definitions

Personal information is information about an identifiable individual, or one who is reasonably identifiable from it together with other information we hold or are likely to hold.

Usage data is information generated automatically when you use the Site or by the Site’s infrastructure, such as how long you spend on a page.

Cookies are small files stored on your device. The Site uses them so that features like booking forms work, to remember your preferences, to tell us which pages people visit, to measure advertising and search performance, and to show us how visitors use the Site so we can improve it. Because cookies are used throughout the Site, switching them off may stop parts of it working.

We group our cookies into three kinds:

  • Strictly necessary cookies let you move around the Site and use its features. Without them, services such as booking and payment can’t be provided.
  • Performance cookies record how the Site is used, for instance which pages are most visited, so we can improve it. They also tell affiliates whether you arrived from their site and whether you went on to buy. The information is aggregated and does not identify you.
  • Functionality cookies remember choices you make, such as your location (so we show you the right version of the Site), text size and fonts, and which featured items you’ve already seen. They don’t identify you personally and can’t follow you to other websites.

A service provider is anyone other than our own staff who handles personal information on our behalf. We use several so that we can process your information efficiently.

What we collect and why

Information you give us. To form a contract with you and run your booking we need your full name, home address, email address and phone number. Some of this is collected every time you book, whether online, by phone or on a written order. We use it to:

  • set up your account and perform the contract, including supplying the service and issuing invoices;
  • pass the necessary details to the suppliers who deliver your booked service, some of whom may be located outside Australia;
  • run the business internally, including analysis, research, testing and fault-finding;
  • tell you about other services we offer that are similar to those you have bought or asked about.

Information we gather while you use the Site. We use this to:

  • provide and maintain the Site and tell you about changes to it;
  • work with service providers and other organisations involved in our business, such as card processors, activity suppliers and administrative services;
  • make the Site easier to use and present our content well;
  • find, prevent and fix technical problems;
  • give you customer support;
  • keep the Site secure;
  • measure how well our marketing works and show you content relevant to you;
  • send you news, offers and information about goods, services and events similar to those you have bought or asked about, unless you have told us not to.

How we gather it: online enquiries, phone calls, emails and letters, messages sent to our company email addresses, purchases on the Site and competition entries. Calls in and out may be recorded for quality and training.

Information from other sources. We may add information we already hold about you to what you give us, and use the combination for the purposes above.

Usage data. This can include your IP address, browser type and version, the pages you visit, when you visit and for how long, device identifiers and other diagnostic data.

Tracking and cookies. As well as cookies, we may use beacons, tags and scripts to collect information and to improve and analyse the Site. You can set your browser to refuse cookies or to warn you when one is sent, though some of the Site may then not work. Our cookies include session cookies (to run the Site), preference cookies (to remember your settings) and security cookies.

How long we keep it

We keep personal information only as long as the purposes in this notice require. We hold it longer where the law obliges us to, to resolve disputes, or to enforce our agreements and policies. Usage data is normally kept for a shorter time, unless we need it to improve security or the Site’s functionality, or the law requires us to keep it.

Where it is held

Your information, including personal information, may be stored and processed on systems outside your state or country, where privacy laws may differ. Bookings for this Site are processed by Butlers with Bums Limited in the United Kingdom, and your information is transferred to the United Kingdom for that purpose. By giving us your information you agree to that transfer. We take the steps reasonably needed to keep your information secure and handled in line with this notice, and we do not transfer it to an organisation or country without adequate safeguards.

When we disclose it

We may disclose personal information where the law requires it or in response to a valid request from a public authority such as a court or government agency. We may also disclose it where we believe in good faith that doing so is needed to meet a legal obligation, to protect our rights or property, to prevent or investigate wrongdoing connected with the Site, to protect the safety of Site users or the public, or to guard against legal liability.

Security

We care about keeping your information safe, but no method of sending data over the internet or storing it electronically is completely secure. We use commercially reasonable measures to protect it, and we cannot promise absolute security.

Your rights

You can ask us to correct, update, delete or restrict the use of your personal information. Where the Site lets you change your details yourself, please do so there; otherwise contact us.

You can ask what personal information we hold about you and ask for it to be removed. In particular you have the right to:

  • access the personal information we hold about you and receive a copy;
  • have inaccurate information corrected;
  • ask for your information to be deleted.

You may also ask for a copy of the information you have given us in a commonly used electronic format so that you can move it elsewhere. We may need to confirm your identity before we act on a request.

If you are unhappy with how we have handled your information, you can complain to us first, and then to the Office of the Australian Information Commissioner (oaic.gov.au).

Service providers

We use outside companies and individuals to help run the Site, to provide services on our behalf and to analyse how the Site is used. They see your personal information only to do that work and may not disclose it or use it for anything else.

Analytics

Google Analytics tracks and reports Site traffic for us. Google uses the data to monitor use of the Site and shares it with its other services, and may use it to personalise advertising on its own network. You can opt out with the Google Analytics opt-out browser add-on, which stops the Google Analytics scripts sharing information about your visits. Google’s privacy policy is at https://www.google.com/intl/en/policies/privacy/.

Remarketing

After you visit the Site, we use remarketing services to show you our advertising on other websites. We and our vendors use cookies to inform, optimise and serve those adverts based on your past visits.

Google Ads remarketing is provided by Google. You can opt out of Google Analytics for Display Advertising and customise Google Display Network adverts at https://adssettings.google.com/, and Google recommends the Google Analytics Opt-out Browser Add-on at https://tools.google.com/dlpage/gaoptout. Google’s privacy policy is at the address above.

Payments

Where you pay through the Site, payment is handled by third-party processors. We never store or collect your card details; you give them directly to the processor, whose own privacy policy governs their use. Our processors meet the PCI-DSS standard set by the PCI Security Standards Council, a joint body of Visa, Mastercard, American Express and Discover. We use Stripe (https://stripe.com).

Links to other websites

The Site may link to websites we don’t run. If you follow a link, you will be on that site, and we recommend reading its privacy policy. We have no control over, and take no responsibility for, the content or privacy practices of other sites.

Children

The Site is not aimed at anyone under 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe a child has given us personal information, contact us. If we learn we have collected a child’s information without verified parental consent, we will delete it.

Changes to this notice

We may update this notice from time to time. The new version will be posted here, and before a change takes effect we will let you know by email or by a prominent notice on the Site, and update the effective date at the top. Please check back periodically. Changes apply from the moment they are posted.
